What changes hands at each milestone
The buyer, supplier, forwarder and local contractor need different records. List a responsible party and revision for every input so an outstanding site decision stays visible through packing and release.
| Milestone | Inputs | Verification |
|---|---|---|
| Design freeze | Project use, clear span, bay spacing and eave height | Obtain the engineer-issued design wind speed in m/s, ground snow load in kN/m² and seismic design category where applicable. Record the criteria revision in the pre-engineered building (PEB) procurement file. Check the dated drawing index against the commercial scope before releasing fabrication. |
| Production | Member grades, shop connections and coating | Request the heat traceability method and inspection checkpoints. Confirm which weld or coating records are required for release and who reviews deviations. |
| Packing | Piece marks, bundle weights and container allocation | Reconcile the packing list against drawings. Ask for lift points, bundle centers of gravity and the unloading sequence before the forwarder accepts the load. |
| Installation handoff | Anchor setting, erection order and outstanding site work | Match base plate geometry and reactions to the local foundation drawing. Confirm who controls temporary bracing and final bolt inspection. |
A factory-welded assembly can remove some connections from the erection plan, while a bolted kit can fit shorter packages and may consolidate more easily. For example, if a carrier confirms a 12 m usable deck and an 8 t payload for the planned vehicle, compare a 14 m member that needs a different vehicle with a two-piece member whose longest segment is 8 m. Check bundle weights separately and include the connection work in the installed price. Use these example values to structure the comparison and get the carrier to confirm the actual limits. If a field splice is proposed, confirm it appears on the released drawings with hardware and inspection requirements.
Supplier evidence to check before shipment
- Match the mill certificate to the listed manufacturer, heat number and specified steel grade. Where a fabricator submits a welding qualification, check its process, material and thickness scope against the purchase requirements.
- Check the bolt schedule against the packing list. Group hardware by connection family and verify that loose hardware has durable package marks.
- Ask the inspector to record the instrument, measurement locations and results for coating thickness checks against the purchase specification. Confirm the inspection report identifies the lot checked and any repair locations. For a sample inspection plan, record dry film thickness in μm at the specified locations using a calibrated gauge, with substrate, surface preparation, and readings recorded for each part. Compare the individual readings and any average with the approved coating specification and record where measurements must be repeated after touch-up.
- Match the sandwich panel assembly to the required insulation and fire performance. An EPS, PIR or rock wool core alone cannot establish fire resistance at a door opening, joint or penetration. Request the report covering the proposed assembly.
- Verify route constraints with the forwarder and unloading capacities with the site team. Packed length and gross weight should reflect the final shipment, including timber and restraint.
Supplier records apply to the scope and revision they identify. Local design acceptance, crane plans and temporary bracing are decided by the responsible project professionals. Keep those items assigned when the documents move from the sourcing desk to the jobsite.
